As I think most of you are aware, The Registry Constituency is planning on holding its meeting outside of Nairobi and is organizing a “remote participation” site in Northern VA.
 
Including various interested parties in this email distribution:
-          David for the Registries
-          Mason for the Registrars
-          Robin for Noncommercial Stakeholder Group
-          Scott for IPC
-          Marilyn for the Business Constituency
-          Craig for ICANN

Three conference rooms are booked as of right now and based on discussions with Mason, one is tagged for the Registry Group, one for the Registrar group and one TBD. 
 
Immediate actions required:
-          Need to get a headcount for a) general participation and b) hotel rooms, so PLEASE forward out to your teams and follow the instructions below
-          If you feel there is a need for the number of conference rooms beyond what we have discussed, please provide details
 
This is kind of a new concept, is being pulled together quickly and it’s really unclear how many folks could show up - so good information back as soon as possible would be most appreciated.

The Hyatt Regency Reston is minutes from Dulles airport off the Dulles Toll Road (exit 12), and is located in the Reston Town Center.  FYI - Conde Nast Traveler Magazine has named this hotel a Readers Choice Top 100 Hotel in the United States for 2009 and a negotiated reasonable group room rate was secured.  Lot of nice restaurants within walking distance. 
 
Additional Information:

Ø  There will be three conference rooms starting on Saturday the 6th thru Friday the 12th:

o   Audio and video conferencing per the ICANN “remote participation” guidelines will be available in each room as needed

o   24 hour access to conference rooms (meaning Nairobi time!)  

o   1 conference room will hold up to 50 people

o   2 conference rooms will hold up to 20 people 

o   A contracted person on site to assist with ICANN audio / video staff as needed

Ø  Breakfast, lunch, breaks will be provided at the meeting rooms (food beverages, coffee)

Ø  There will be complimentary Wi-Fi in the lobby and in the conference rooms

Ø  Wireless in the hotel room will be a separate fee of $9.95 per day   

Ø  A block of rooms will be available Friday, March 5 thru Friday, March 12

o   A “group rate” code will be provided Tuesday Feb 23rd COB

o   As of now, the nightly single room rate is $189, but subject to change 

o   Need to know ASAP approximately how many rooms will be needed for each night in order to be the most cost effective with the contract and not “over commit” on rooms

o   Your name, company and that you plan to attend for how many days

o   Your affiliation (Registry, Registrar, IPC, ICANN, other)
